Job Summary
The Senior Membership Coordinator at the International Society of Thrombosis and Haemostasis (ISTH) plays a crucial role in the membership program's success. They implement strategies for member acquisition, retention, and growth, utilizing direct marketing techniques and fostering member satisfaction. As the primary liaison for the My ISTH Community, an online platform for member engagement, they provide exceptional customer service and support. The Senior Membership Coordinator also coordinates activities, communications, and logistics, collaborates with related thrombosis and hemostasis societies, and assists with registration processes for ISTH meetings. They demonstrate initiative, sound judgment, and effective communication skills in executing their responsibilities.
The nature of the work requires the Membership Senior Coordinator to execute special assignments and tasks under only general direction; demonstrate strong initiative; exercise considerable discretion and independent judgement; and deal independently with other staff, members and the public.
Key Responsibilities
Membership and Marketing
Develop and deploy membership direct response programs, working with the Marketing and Membership Senior Manager, creative services, and external vendors.
Coordinate the membership program, including preparing the annual acquisition and recruitment plan in collaboration with the Marketing and Membership Senior Manager.
Create membership marketing materials for print and email distribution in partnership with creative services.
Oversee the My ISTH Community, focusing on software tools, member interaction, and vendor management.
Investigate, implement, and manage new member types and benefits, presenting detailed plans and forecasts for approval.
Generate and analyze statistical and forecasting reports using CRM software. Create and present executive summaries on membership trends, retention rate, KPIs, etc.
Assist in developing and analyzing customer satisfaction surveys and utilize results for program improvement. Present membership-related data and insights to the Membership and Communications Committee.
Collaborate with finance to adhere to the membership budget, provide quarterly forecasts and help inform marketing and communication strategies based on statistical reports.
Assist in creating and analyzing surveys to identify growth opportunities across the organization.
Ensure timely and accurate worldwide delivery of over 2,000 medical journals, the Journal of Thrombosis and Haemostasis (JTH), each month through effective database management and coordination with international partners.
Trade Show Booths at Global Related Society Meetings
Act as the main point of contact for related societies, establishing relationships, executing barter agreements, and coordinating travel booths for collaborative efforts.
Create a trade show calendar, organizing exhibits at three major industry trade shows each year.
Conduct research and gather demographic data on current and potential members to identify effective outreach strategies and segmentation for promoting ISTH programs, meetings, membership, public advocacy, etc.
Develop detailed budget plans for each event, considering location, size, research field, return on investment (ROI), and other financial considerations. Monitor and adhere to the budget.
Manage logistical aspects of travel booth planning, including booth reservations, signage development and printing, shipping arrangements for collateral and giveaways, hotel reservations for society attendees, exhibitor registration, and support for joint activities.
Serve as a spokesperson, representing the Society at trade shows and implementing customer engagement strategies to welcome new members. Conduct interviews on membership-related topics and share them through social media platforms.
ISTH Meetings
Optimize the membership database to maximize registration efficiency and quality for members and nonmembers. This includes cross checking the entire database to merge any duplicated accounts, and activating different database filters to ensure all attendees have access to the meeting’s online resources through the education platform – ISTH Academy.
Generate social media content to promote the meeting’s main programs, activities, exhibitions, etc.
Create promotional content to promote upcoming ISTH workshops, seminars, etc. across social media channels, ISTH website, and ISTH calendar.
Coordinate agreements with related societies to promote upcoming ISTH congress and events in their main social media channels and on site conferences.
Finance
Generate reports for the monthly membership reconciliations.
Coordinate with the finance department to process payments for membership, including membership dues, resources, marketing outreach efforts related to membership and more.
Support the establishment of effective strategies to process membership dues during international events and the ISTH Congress by identifying exchange rates, national and international financial policies, etc.
BluePay processing: Monitor and generate transactional reports to ensure membership dues have been successfully processed. Make financial adjustments as needed (e.g. membership upgrades, refunds, promotional discounts, etc.).
Answer membership related questions for Finance; understand and contribute to the overall business function of the Society. Provide backup support to finance as needed.
Provide insight of revenue and expenses regarding each membership type to evaluate agreements with third parties and contractors
Minimum Requirements
Bachelor’s degree
2+ years of work a similar role or in marketing, membership, communications, volunteer coordination, data management, or related field

Multilingual preferred
Work Environment
This position is primarily remote and sedentary, and it may require some bending and lifting.
Will require some international travel to events and set up for trade show booths.
