The Monitoring Association (TMA), an entrepreneurial small-staff, McLean-based trade association representing the professional security monitoring industry, seeks a dynamic individual to join our team as TMA’s Programs and Administration Coordinator.
Overview:
The Programs and Administration Coordinator (PAC) provides administrative services to TMA and serves as the program coordinator of three TMA Programs: the Five Diamond Designation Program, the IQ Program, and the FirstNet Program.
Besides these duties, you will assist the IT and membership departments with CRM data management, provide membership services to PPVAR, work with several volunteer committees, and provide excellent member care to maintain and improve member retention and recruitment. In addition to the duties outlined above, this person will assist TMA’s Finance & Administrative Contractor with account receivable duties.
The Programs and Administration Coordinator will report directly to the Director of Membership & Programs for the Five Diamond project and membership-related duties and to TMA’s Chief Executive Officer for the rest of the duties.
Duties and Responsibilities (including, but not limited to):
Program Coordinator for TMA’s Five Diamond Designation Program, the IQ Program, PPVAR, and the FirstNet Programs including:
Assisting companies with the application process
Processing applications
Sending renewal reminders and designation packets
Record-keeping
Updating information on the TMA programs webpages
Administrative Services:
Database support includes assisting with updates, data clean-up, queries, generating reports, and other database-related duties.
Edit TMA’s website by posting jobs on TMA’s job board for members, keeping all TMA program tabs and the member directory up to date, and creating forms within the website.
Work closely with all departments to assist with projects or tasks, such as certificate printing, proof-reading, preparing meeting materials.
Other administrative duties include the processing of member payments, ordering office supplies, processing daily mail, and handling mailing and event shipping.
Accounts Receivables Duties:
Organize, sort and batch all online credit card payments, checks, and ACH wire payments.
Generate invoices and apply payments to open invoices.
Pull open order and open invoice reports for TMA staff (monthly or as needed).
Assist the Finance & Administrative Contractor with any questions regarding the payments and batch records.
Member Services:
Works with Director of Membership & Programs on membership campaigns, mailings, and annual invoicing, and other duties when time allows.
Staff Liaison to assigned TMA member committees and subcommittees, supporting their scope of work (Five Diamond Committee, IQ Committee, Proprietary Council, and the NextGen Community).
NOTE—While not a telecommuting/virtual position, TMA staff is currently operating almost virtual. This position requires going to the office for a few hours once or twice a week.
Job will be available starting on Monday, July 2.

The ideal candidate:

Is detailoriented, a quick-learner, and able to work independently and wear multiple hats.
Has an Associate’s or a Bachelor’s degree, preferably in communications, business, marketing, or a related field, or equivalent experience working within a business environment.
Understands the association environment and enjoys learning about and implementing association best practices.
Is proficient in Microsoft Office, has some experience with a CRM (preferably GrowthZone, but it is not a requirement), and has excellent written and verbal communication skills.
Possesses the ability to quickly develop a fundamental understanding of our industry and TMA’s member programs.
Has superlative interpersonal skills, is customer-focused, enjoys communicating with people both by phone and email, is a good listener, and is adept at building relationships with members, partners, staff, sponsors, and other stakeholders.
Is comfortable working with minimal supervision; exercises sound judgment, and strong problem-solving skills when issues arise.
Is able to do some travel to multi-day association events and trade shows (2 to 4 times a year).
Provides excellent customer service and responds thoughtfully and professionally to member inquiries and requests in a timely manner.
The Monitoring Association (TMA), formerly the Central Station Alarm Association (CSAA), is an international non-profit trade association that represents the professional monitoring industry, including those listed by a Nationally Recognized Testing Laboratory, such as UL, FM Global, or Intertek/ETL, as well as unlisted companies, integrators, and providers of products and services to the industry. Incorporated in 1950, TMA represents its members before Congress and regulatory agencies and public safety organizations on the local, state and federal levels.
