The Registration & Data Specialist handles the registration for all UCA events and serves as support to the Development and Corporate Relations activities at UCA, ensuring that select administrative and data management activities are handled efficiently and effectively across the organization.
Design, develop and administer registration leading up to and onsite for UCA events after collaboration with project manager(s) keeping customer experience top of mind;
Manage all administrative activities for special events and conferences;
Collaboration about and execution of logistics related to onsite registration experience and events management;
Manage vendor membership, development initiatives and Corporate Support partner tracking and benefit execution;
Ensuring new accounts, invoices and payments are up to date and collected within established timeframes;
Maintain vendor member and prospect database, ensuring industry transactions are accurately reflected and information is current;
Ensuring senior leaders have up to date information on outstanding A/R and related activities and administrative support.
Manage registration sales to individual and groups, including creation/execution of group benefits;
Provide ongoing registration reporting and historical tracking/trend reporting;
Assist with staffing of volunteer committees, including meeting preparation, mailings, slides and timelines;
Accounts Receivable Support - creating accounts and invoices, processing and tracking payments for registration, development and vendor activities;
Collaborating cross-department to ensure or create alignment in due dates for major development campaigns or sponsorship execution;
Account maintenance - updating and assisting with vendor membership renewals, updating sales prospects, and key contact transitions;
Reporting - Providing regular and on-demand reports on various areas of activity and transactions;
Database Administration - Maintain database integrity by generating monthly report, tracking various campaigns and performance, establishing monthly budget reconciliation process;
Senior Leadership Support - assisting Director of Chapter and Corporate Relations, Chief Governmental Affairs Officer and Development Manager with managing standard correspondence (thank you letters, recognition packages) word processing and basic document layout of proofing, sourcing and ordering of awards and branded promo items.
Event registration experience in a membership organization;
Raiser's Edge NXT and CVENT experience required;
Strong knowledge of Microsoft Office (Word, Excel, PowerPoint);
Experience with invoice creation, payment posting, and general bookkeeping;
Passion for finding systems for tracking/trending sales & history;
Experience in Data management for membership/activity records preferably in an association;
Ability and willingness to travel to events.
