Position Description: ACEC is seeking an individual, who has worked closely with volunteer committees and boards, to help support our growing special interest Coalitions group. You must have a proactive approach to getting things done, be customer centric and able to manage multiple deadlines. This position is for individuals looking to develop their career in association management.
To perform successfully in this role, our ideal candidate will possess an undergraduate degree in Business Administration / Marketing/ Communications/ English or related field; and at least 2 years’ experience working in either a professional membership organization or trade association, in a membership or component relations capacity.
Coalitions, a growing program area within ACEC, are dues-based groupings of member firms with similar interests including structural, mechanical/electrical engineering, surveying work, site/civil and land development, geo-technical engineering and small business interests. This position, reporting to the Coalitions Director, will assist in maintaining ongoing operations including, but not limited to handling membership inquiries, publication administration and distribution, and communication via social media. Position will maintain database of current coalition members plus oversee award programs and assist with meeting logistics for yearly coalition meetings, plus events at two national conferences. Some travel will be required.
Duties: 1. Handling administrative details for the coalitions as appropriate, including but not limited to providing support to ACEC’s coalitions, ensuring that their needs (program, recruitment, meetings, marketing, communications, etc.) are met within budget.
2. Becoming proficient at utilizing the ACEC database in support of the coalitions; this includes segmenting the database for use in marketing campaigns and administrative mailings to Coalition members.
3. Helping to manage/run the membership renewals for all assigned coalitions.
4. Working closely with staff from other departments in utilizing their support of coalitions’ functions.
5. Working with the Meetings, Exhibits and Awards department to set up logistics for coalition conferences, receptions, and meetings.
6. Managing the logistics of coalitions’ awards programs.
7. Assisting in production of all coalitions’ documents plus producing data reports.
8. Assisting in the development and maintenance for all coalition web pages.
9. Drafting articles, meeting minutes, issue summaries, and other items as assigned.
10. Maintaining current rosters and facilitate communication for all coalitions’ committees.
11. Addressing other education or coalition-related issues and/or work on interdepartmental initiatives to benefit the coalitions and/or ACEC membership in general.
12. Providing lunch coverage for ACEC receptionist.
13. Other duties as may be assigned.
