NAIOP SoCal, the leading voice for the commercial real estate industry in Southern California, is seeking a highly-motivated, positive and tech-savvy Membership & Operations Manager. Reporting to the CEO, the Membership & Operations Manager is responsible for tasks including but not limited to membership marketing (for retention and new members); membership service; member and sponsor recruitment and database and invoice management; The position will help coordinate the activities of volunteer program Committees and assist with set up at local events. Interacts with member volunteers, affiliated components and potential members under supervision, but with minimal direction.
The position will generate monthly financial reports from the CRM to the association’s bookkeeper. The position works collaboratively across association functions and frequently interacts with member volunteers, staff and consultants. The selected individual must have experience communicating a value proposition with the primary goal to increase engagement, satisfaction and number of members.
Finally, the position will also perform light administrative tasks including recording board meeting minutes, managing a monthly calendar; handling telephone inquiries; scheduling email distribution; maintaining supplies and vendor/utility payments.
This is an exciting opportunity to represent one of the most important industries in California. The organization is in the process of modernizing so having experience using web-based platforms to augment in-person meetings is essential.
Essential Duties and Responsibilities:
Manage NAIOP SoCal’s membership growth and engagement strategy and plan.
Maintain a current list of prospects and manage outreach to them.
Managed day to day maintenance of the association’s Membership management system/CRM, provide membership/sponsor reports and analysis, manage data entry of membership/sponsor/prospect contact information and perform routine clean-up of inaccurate and dormant records.
Lead implementation of an online membership application.
Provide member services by phone, email, fax and mail, responding to all incoming communications within 24-hours.
Manage member and sponsor invoicing process, including updating of company information.
Respond to member and non-member inquiries regarding membership status, renewals, profile updates, invoices, receipts, purchase orders, membership information and subscriptions.
Manage onboarding efforts for all new members.
Review and verify membership applications.
Conduct daily follow-up with members via email, phone, fax and/or mail to resolve any application and payment issues or concerns.
Support tracking of member programs.
CHAPTER PROGRAMS & COMMITTEES
Manage engagement of member volunteers serving on the committees including participation in conference calls and virtual meetings.
Provide support for development and maintenance of chapter programs including developing membership marketing collateral, ideas for messaging and best practices for publishing through all methods of communications , i.e., website, social media, email, print, etc.
Assist in budget development.
Maintain sponsor spreadsheet, sponsor logos and communicate sponsor benefits.
Coordinate printing, signage, A/V, food and beverages.
Assist in event production as needed.
Communication and coordination with speakers/instructors
Assist in online event registration, signage, on-site registration and ordering awards, plaques and certificates as needed.
Collaborate with volunteer committees to review and update applications for classes.
Maintain, organize and track applications in the CRM/database
Coordinate correspondence to candidates.
OFFICE & OPERATIONAL SUPPORT
Assist in Keeping web site content current
Taking Board meeting minutes
Maintain adequate office supplies
Keeping Board and Committee rosters current
Organize files on the organization’s cloud drive
OTHER DUTIES AS ASSIGNED
4+ years of experience working with professional team members, Board of Directors and/or Members in a Professional Association or a membership-based nonprofit organization.
Impeccable attention to detail and value the importance of member servicing and relationship building.
Experience using a CRM/membership management system a must.
Experience using a business communication platform (i.e. Slack, etc.) essential.
Ability to interface with Members in a professional and poised manner via email, virtual meetings, telephone and in-person, particularly in high-pressure situations.
Background in financial accountability and data entry preferred.
Excellent communication skills and editing ability.
Proven computer skills are required, including knowledge of MS Word, Excel, and PowerPoint.
Experience using a cloud-based file-management system a must.
A demonstrated ability to work well under pressure, handle multiple projects simultaneously and work under tight deadlines.
Ability to travel locally in Southern California to events, conferences and committee meetings.
Able to exercise good judgment and professional discretion is necessary.
Strong willingness to be a team player – to roll up your sleeves and get the job done.
