This position is responsible for supporting the membership and program activities for an international professional association with 3,000 members worldwide. The Membership and Program Coordinator provides a wide variety of administrative support to these functions, including support for domestic and international conferences, grants and awards, and general office support. Key responsibilities include:
Manages general inquiries and provides customer service to members including email, mail, and telephone communications
Updates and maintains membership database to ensure accurate data and to extract management data from systems
Prepares certificates and letters as required for membership and events
Processes dues payments, meeting registrations, and grant reimbursements and assists in processing payments supporting daily office operation and event planning
Collects content and posts to website; supports members’ ability to access and use site; monitors site’s functionality and works with staff and contractors to resolve problems as needed
General office duties including ordering, tracking and inventory of office supplies
Assists management with other activities as assigned
The ideal candidate will possess the following qualifications:
Excellent organizational and communication skills
Strong customer service skills and ability to work well with all levels of internal and external partners
Team player who supports co-workers
Ability to manage multiple priorities effectively while maintaining attention to detail
Proficiency in the use and application of Microsoft Office products and database skills
Familiarity with academic, association, and/or international environments strongly preferred
Bachelor’s degree and two years’ work experience as program / administrative assistant with project management responsibilities.
Some domestic and international travel, about 6-9 nights per year, for conferences is required.
