The International Gynecologic Cancer Society does not have a physical office building. All staff members work remotely from their homes, participating in frequent video conferences with other employees and volunteer leaders.
The Mentorship & Training Program Manager is responsible for the development, implementation, and evaluation of mentorship initiatives in collaboration with the CEO, Mentorship & Training Steering Committee Chair, and volunteer leadership. The Manager will guide and provide recommendations to the Steering Committee and four Work Groups associated with the committee.
The position reports to the CEO of the IGCS and the Chair of the Mentorship & Training Steering Committee.
General Duties and Responsibilities:
Guide and support the committee and workgroups by creating agendas with leadership input; arrange and communicate meetings and conference calls; develop and distribute agenda materials; draft, distribute, and archive meeting minutes and ensure follow-up on all action items.
Develop and present appropriate reports at Steering Committee and workgroup meetings; develop and maintain effective communications and relations with leadership.
Provide progress reports, support, and guidance to leadership in preparation of committee meetings and council meetings.
Create and maintain Mentorship & Training Committee budget.
Conduct weekly calls with the Mentorship & Training Committee Chair and Vice-Chair that include an agenda with relevant topics for discussion.
Recruit and identify IGCS members to participate in mentorship initiatives.
Develop marketing and promotional strategies for mentorship & training initiatives in collaboration with the IGCS Communications Manager.
Work closely with the web editor to ensure content is made available on the IGCS website in a timely manner.
Perform all other job - related duties as required or assigned.
Attend relevant conferences to meet with volunteer leaders
Workgroup Specific Responsibilities
IGCS Gynecologic Oncology Global Curriculum & Mentorship Program
Manage all trainees participating in the IGCS gynecologic oncology training program across multiple institutions in collaboration with the Vice-Chairs of the workgroup
Ensure all participating sites are meeting targeted milestones and providing appropriate documentation as needed including submission of surgical case logs and In Training Evaluation Forms
Assist with start-up and establishment of new training sites
Conduct virtual training on REDCap, a web-based database for surgical case log forms
Maintain accurate data and information on each of the participating institutions
Assist the Gynecologic Oncology Global Curriculum & Mentorship Program Examination Committee with development and facilitation of the final examination.
Maintain budget for each training institution
Project ECHO Tumor Boards
Manage the logistics of multiple virtual tumor boards utilizing the Project ECHO model in collaboration with MD Anderson Cancer Center
Conduct virtual Project ECHO training to IGCS members
Coordinate collection of case presentations and didactic lectures for each session and manage invitations and participant contact information
Participate in monthly video conferences with the ECHO Institute
Visiting Scholars Program
Create and maintain a database of IGCs members interested in hosting a member at their institution or travelling to an institution in a LMIC to provide mentorship in the form of education and training.
Collaborate with Workgroup Chair to develop program application and candidate review process.
Serve as the liaison between the workgroup and mentor/mentor’s institution.
Provide speaker management and serve as liaison to IGCS members presenting at IGCS-supported third party collaborative meetings
Assist the Mentorship & Training Chair and Vice-Chair in presenter recruitment
Collaborate with the IGCS Communications Manager on related marketing material for collaborative meetings
Ability to work from home office and participate in frequent video conferences
Flexible schedule to participate in occasional early morning or evening conference calls with international members
Valid passport as international travel is often required
Telecommuting is allowed.
