Currently the American College of Radiology (ACR) is seeking an energetic, detail-oriented membership data specialist with solid Association Management System (AMS) and/or Customer Relationship Management (CRM) experience to coordinate AMS database maintenance, report generation, data entry support/optimization and inter-database connections.
THE ROLE WOULD ENTAIL:
Practice Relationship Management Support
Main contact for Practice Relationship/CRM data and maintenance. - Ensure that practice (customer) relationships are up to date - Maintain practice updates. - Maintain accurate list of practice leadership roles. - Assist in annual data updates of practices. - Contact practice leaders and administrators as needed. • Manage and administer annual processes and updates related to practice relationship data, including database-related testing. • Assist with upgrades and implementation of practice relationship functionality in new Salesforce/Nimble configuration, including: - Internal meetings with senior staff. - Data collection for discovery phase. - Design, testing and implementation. - Ongoing modifications and changes to database and data collection. - Distribution of data collected. - Coordination of practice relationship data between key ACR departments. - Training of staff assisting with practice relationship management. • Maintain mailbox related to practice relationship management system. - Assist end users with making updates to practice relationship management system. - Track electronic updates through the practice relationship mailbox. • Provide relevant reporting of practice data maintenance and collection.
• Provide in-depth research and problem resolution. - Gather relevant facts for resolution. - Correct problems and anticipate next steps in the process. - Assist in testing newly developed AMS database reports and queries; if output is incorrect, offer suggestions for modifying the program. - Propose new internal procedures as needed. - Screen AMS database-related problems before posting the problem through the SRMS. - Review and analyzes data across multiple databases. - Update and test data sets for relational membership database. • Establish guidelines for verification of data and fixes and coordinate staff fulfillment of validation requirements. • Help to administer the AMS database, including day-to-day operational management and support of AMS database; provide tailored analytics and customized membership reports. • Assist senior data manager with the data migration/conversion from Personify to Salesforce/Nimble; maintain and enforce association data entry standards and monitor compliance. • Train department staff on new upgrades in the AMS database. • Monitor the status of issues submitted to IT and follow up with department staff. • Respond in a timely manner to data requests; take primary responsibility for development of data files pulled from the AMS database. • Coordinate data entry of certification lists received from all ACR-recognized certifying boards and assist with ABR data entry in a timely manner (material is time-sensitive). • Assist in the data clean-up of the ACR mass renewal and mass cancel procedures. • Perform regular quality control reviews on membership data to assure the maintenance of high-quality data; correct data as necessary in the AMS. • Assist in managing open issues and system functionality of the AMS. • Work with other departments in the ACR to share validated information to multiple customers.
Other Department Projects
• Generate subscription mailing lists as needed. • Coordinate timely updates/correction of data in AMS with staff to meet monthly deadlines for the generation of mailing lists for the Journal of the American College of Radiology (JACR) and ACR Bulletin. • Run processes in AMS to generate mailing lists for JACR and Bulletin. • Run queries in AMS to pull/forward lists for the JACR Online. • Generate subscription online-only lists for access to the JACR. • Attend the ACR annual meeting, RSNA, and other external conferences as assigned. - Cross-train designated staff on duties and responsibilities identified by management. - Provide outstanding customer service in all circumstances and works to provide a positive and professional work environment. - Regularly participate in professional development activities and seek both external and internal resources to ensure growth and development of programs and services under your purview. - Perform other duties as assigned by Department Management in a professional and timely manner. • Work with Membership Services and Information Technology teams to prepare and update standard operating procedures (SOPs) involving membership data processes
QUALIFIED CANDIDATES WILL POSSESS THE FOLLOWING SKILLS:
A minimum of 3 years of relevant experience required.
Bachelor's Degree Required
Strong proficiency in AMS and/or CRM systems and experience in managing a database; database transition experience a plus.
Ability to streamline AMS/CRM operations and workflows.
Ability to work under pressure; managing multiple tasks simultaneously is required.
Ability to work with and relate to different personalities at all business levels.
Outstanding communication (speaking, writing, editing) and customer service skills.
Enthusiastic, positive personality with a true commitment to the healthcare industry.
Proficient in Microsoft Office (Word, Excel, PowerPoint).
