The External Engagement Coordinator reports to the Director of External Engagement and provides operational support to all activities, member leaders and external stakeholders associated with the organization’s External Engagement functions.
It is a role with project management responsibilities across the various functions (external conferences, relations with external organizations, regional support), helping to raise awareness about EO externally, to position the organization as a thought leader in entrepreneurship, and to advance the organization’s goals through strategic partnerships with other non-profit, NGO and governmental groups. Working closely with the External Engagement team, this position will support critical components of a strategy for engaging with external audiences and stakeholders in a deep, meaningful way.
Essential Duties and Responsibilities:
Support Director on the execution of action plans for EO’s participation in each conference
Manage project management sheet for each conference, track and coordinate activities with different teams, according to the timeline
Liaise with conference organizers for program/schedule details; coordinate logistics and sponsorship agreement
Coordinate hotel arrangements for EO delegation
Coordinate pre/post/on-site surveys and communications to external audiences, according to set objectives by Subcommittee
Coordinate pre/post communications to EO delegation, following the delegation management process
Process, file, and report on data collected (leads, contacts, other insight)
Review potential relationships with external organizations using EO’s screening process
Support action plan for each relationship
Support screening of local and regional conferences/organizations
Provide guidance and resources to regions/chapters on EO’s best practices engaging with external partnerships
Track EO external engagement activities at regional and chapter levels
External Relations Sub-committee support
Schedule monthly Sub-committee calls, collect agenda items, coordinate agenda with Director and send out to Sub-committee prior to the call
Take notes on Sub-Committee calls and provide administrative support as needed
Track action items and maintain an up to date dashboard on Samepage
Global Citizen of the Year Award
Support planning and execution of the program internal promotion to ensure a satisfactory number of applications/nominations, manage communications with nominees and the final winner and coordinate selection process with nominees and judges.
Manage external stakeholder database (Insightly)
Maintain external conferences calendar (global, regional, local levels)
Maintain external engagement activity log; Update team budget sheet with expenditures, file invoices/receipts, and expense reports.
Provide External Engagement related content for EO publications (announcement of upcoming opportunities, activity summaries)
Coordinate content for EO Engage newsletter
Disseminate external engagement opportunities and other information related to existing partnerships to members, chapters, and regions, through available EO channels
Provide content for the development of briefing reports and/or white papers, as required
This position will be based in the Alexandria, VA office of the Entrepreneurs' Organization, where some members of the team are located. It will report directly to the Director for External Engagement, who is based outside of the office.
Minimum of 2 years of professional experience, in associations, event planning or similar
Experience with entrepreneurship in some form
Event planning experience
Ability to speak multiple languages
International experience (whether through work or personal)
Experience with WordPress and Microsoft CRM
