Who we are looking for:
The American Society of Clinical Oncology is seeking a highly-motivated and enthusiastic Member Services Department Coordinator with excellent customer service skills to join the Member Services Department. The selected candidate will provide administrative coordination and support to the department Vice President and staff members while participating in department activities, projects, and initiatives. What you will do:
Support the Vice President, Member Services with meeting scheduling and coordinating logistics; facilitating meeting; and preparing presentations, materials, and meeting notes
Serve as the department onboarding coordinator including preparing materials, schedules, and training setup for staff onboarding; and create and maintain department organizational chart
Update department intranet and website content; and draft communications including staff education pieces on ASCO membership
Provide administrative coordination for the Membership Committee; and support volunteer management activities and initiatives working with the Volunteer Services Manager
Perform department support activities including processing invoices and expense reports through the accounts payable system, participating with budgeting activities, preparing reports and updating lists, and coordinating department supplies and mailings
Coordinate travel logistics, and attend member exhibits, the Annual Meeting, and other events on a regular basis for in-person recruiting and retention efforts
What you will need in order to be successful:
College degree or equivalent training or work experience
2-4 years' experience in an administrative or membership position, or related field, preferably within the nonprofit field
Proficiency with Microsoft applications (Word, Excel, PowerPoint, and Outlook); an openness to learning and working with new technology
Prior experience working with a membership database, content management systems and performing website updates, and social media within a professional setting
Excellent writing skills, including grammar and composition
Track record of successfully multi-tasking in a fast-paced and professional environment while consistently meeting deadlines with a high-attention to detail; and strong project coordination skills
Strong analytical skills and ability to think things through, anticipate solutions and next steps, and see the bigger picture
Professional demeanor with strong interpersonal skills and the ability to effectively collaborate with colleagues and across departments
Flexibility to travel to attend ASCO meetings and exhibit shows, up to 20-30 days/night per year
