NABCA has an immediate vacancy for an Accounting Associate. The Accounting Associate coordinates the accounts payable, cash receipts and accounts receivable functions for the Accounting Department. The Accounting Associate reports to the Sr. Accounting Administrator.
Coordinates the accounts payable process from invoice receipt through payment; Maintains a transparent, orderly system to track invoices, packing slips, associated documentation, etc.
Sets up new a/p vendors; Accurately codes and enters incoming invoices into the accounting system on a daily basis; Ensures that invoices are approved prior to processing; Promptly researches and responds to vendor and staff inquiries regarding invoices; Prepares checks and ACH transfers.
Prepares, transmits and processes electronic (spreadsheet-based) travel vouchers for staff and meeting attendees; Reviews travel vouchers for accuracy and completeness; Maintains reports to systematically track the status of all outstanding travel vouchers.
Maintains chart of accounts coding guide.
Prepares W-9 requests; Ensures that accurate W-9’s are filed in vendor/consultant files; maintains invoices in the vendor files.
Maintains transparent, orderly system to track the status of cash receipts; Accurately applies membership and subscription payments to invoices within membership database on a daily basis; Processes conference and meetings registrations and miscellaneous payments.
Processes daily remote bank deposits.
Promptly addresses payment discrepancies or short payments and brings to the attention of the Senior Accounting Administrator if necessary; Emails statements to collect past due balances; Assists with a/r research and collections calls; Maintains collections report and distributes on a weekly basis.
Maintains electronic and/or hard copy files for the department.
Maintains monthly spreadsheets to track various accounts as required to assist with the monthly closing process.
Assists with annual budget development and annual audit.
Assists with special projects upon request.
Bachelor’s degree and a minimum of three years of a/p and a/r experience or seven (7) years of relevant accounting experience required. Must be able to demonstrate knowledge of the fundamentals of a/p and a/r.
Accuracy, strong attention to detail, and ability to meet productivity standards are essential for this position.
Proficiency with accounts payable module of an automated accounting system required; Experience with Sage 100 or MS Dynamics preferred. Intermediate Excel experience required to include creating formulas, sorting, charts, etc. Intermediate Outlook and Word experience is required.
Experience processing membership and subscription transactions in a subscription/membership or similar database preferred.
Experience processing and coding spreadsheet-based travel vouchers required.
Must possess excellent organizational skills. The ability to multitask and adhere to processing schedules and deadlines in a fast-paced environment are essential.
Must have excellent telephone, proofreading, and written communications skills.
Reliability, good judgment and initiative are critical; must be a team player who is a fast learner, flexible, with a positive personality.
