Responsible for the full accounting and membership information of the Atlanta and Georgia Chapter Associations. Acts as company receptionist and office administrator, assuring office equipment are in good working order and supplies are available to staff
Specific Position Responsibilities:
Responsible for invoicing customers and posting checks, cash and internet payments, including creating bank deposits on a timely basis.
Bill for tuition, books and related fees according to pre-authorizations
from Apprenticeship and Education Departments.
Responsible for processing accounts payable and issuing payments to vendors on a timely basis.
Maintain accurate payroll and personnel records, issuing paychecks to staff and instructors on a timely basis. Process 401k, HSA, health insurance and paid time off (PTO) for all employees.
Perform collection calls as necessary to maintain A/R within adequate aging.
Process and make all tax deposits within required filing and payment dates.
Prepare monthly financial statements, including month-end journal entries as required for accurate reporting, including deferrals and accurals.
Greet all visitors in friendly and professional manner, answer all incoming calls, answering questions, taking messages and providing high quality customer services.
Order all offices supplies, maintaining reasonable levels of basic office supplies as necessary to meet normal business operations.
Update all membership listings including accounting, membership, mailing, faxes and membership database.
Assist Executive Director in special projects such as mailings, updating Resource Directory and website updates.
Maintain files for association documents to include: contracts, leases, insurance, by-laws, members, certificate of insurance, board meeting minutes, financial statements, payables, receivables, payroll, personnel, taxes and banking.
Maintain office and front lobby in organized and professional manner.
Update all internal databases regarding member status and contact information
Maintains all office equipment in good working order, assisting staff with efficient operation of copiers, printers, fax, postage and folding machines.
