Job Summary: The successful applicant will manage industry alliances and related programs of the IEEE-ISTO, serviced through the IEEE SA, to ensure the professional, efficient and accurate delivery of all contracted support services; build strong relationships that positively position IEEE-ISTO with key entity stakeholders; identify and promote tactical and strategic initiatives that effectively support entity missions and goals; and expand IEEE-ISTO’s contracted business and revenue stream.
This role is accountable for the successful relationship with and timely delivery of services to ISTO clients to their satisfaction. The role is diverse, creative and hands on, executing various support services while concurrently monitoring the boundaries of the contracted resourcing to preserve operational efficiencies.
You will also be expected to be fully knowledgeable of all aspects of assigned alliances and entity clients including, but not limited to, their missions, goals, resources, governing documents, monthly financials, legal obligations, and membership demographics. With this knowledge, you should be able to monitor the health and robustness of all assigned entities; identify any and all challenges to the entity achieving its goals and/or supporting its mission; and help to formulate/share strategies to counter any weak areas for entity growth and advancement towards its goals.
Your performance will be measured across several markers, including strong performance in the annual Program Satisfaction Survey, positive feedback from entity members and stakeholders, adherence to ISTO operational best practices and procedures, and the number of new opportunities identified and closed.
Essential Functions: The mission of the role is to effectively manage ISTO contracted alliances and other entities, ensuring customer satisfaction and repeat business while adhering to quality and process best practice and adhering to internal controls. The incumbent in this position is primarily responsible for the accurate, timely and professional delivery of all contracted work for assigned ISTO alliances and other entities. The role is also accountable for understanding the mission and goals of assigned alliances and other entities and understanding their budgets/forecasts so as to identify and respond to any potential weak areas that could threaten the fiscal health of an entity, such as membership attrition. The role is diverse and required to work with volunteers and staff senior management to develop sound recommendations that would guide an entity in all phases of its development, from formation to shutdown.
Manage all aspects relating to contracted support for multiple industry alliances or other entities.
Provide a diverse range of project management and high level duties to support the day-to-day operations of assigned alliances; work independently and prioritize and time manage workload.
Monitor all assigned alliances for anti-trust and possible IRS concerns.
Ensure all tasks and projects fall within the confines of each assigned alliance’s Statement of Engagement and/or Participant Program Agreement.
Review all monthly accounting financials including monthly cash flow statements, balance sheets and AP/AR summaries; identify any potential inaccuracies; issue in a timely manner to all treasury contacts within assigned alliances; discuss any areas of concern with treasury contacts.
Draft, maintain and have complete knowledge of all governing documents of assigned alliances including bylaws, membership agreements, IPR policies and financial policies; ensure compliance with all governing documents in the day to day activities of assigned alliances.
Work with volunteers and staff senior management to develop campaigns, strategies and initiatives to meet alliance and entity goals; project manage those same campaigns and strategies to completion, identifying and documenting measures for success.
Act as liaison between assigned alliances and other ISTO support functions, such as Finance, IT and Marketing.
Identify opportunities to expand support to assigned programs; work with management to pursue these opportunities as applicable.
Provide input into the monthly ISTO Board of Directors Report summarizing activities within assigned programs.
Integrate ISTO best practices and the Quality Initiative framework into the operations of assigned participant programs.
When contracted, serve as Board Secretariat, scheduling meetings, taking minutes and following up on action items in a timely, accurate and professional manner.
Provide committee and/or work group support.
Manage and oversee membership administration of assigned alliances and other entities; understand membership demographics and trend analyses; work with volunteers and staff senior management to develop membership development strategies if required.
Work with alliance legal counsel relating to trademarks, registrations and certifications and other matters, when required.
Maintain regular sync calls with key alliance stakeholder(s) to communicate project status, receive information, brainstorm, and relationship build.
Interface and communicate with executive level Board members from industry from various countries and various industry sectors.
Provide event management support for assigned alliances exhibiting at, or hosting, industry conferences, summits, etc.
Provide IT support to assigned alliances, project managing the development and/or deployment of logos, website, and membership collaboration systems and tools.
Identify areas of synergy with IEEE and ISTO alliances and other entities.
Monitor and track time spent on alliance projects using a time tracking tool.
Occasional travel, US and non-US, required.
Qualifications Education and Experience:
Four year undergraduate degree minimum; post graduate work /degree preferred.
Minimum 10 years hands on experience in association management and/or a high technology organization in a related capacity.
Open source tools familiarity/background a plus.
ASAE or Project Management Institute coursework/certification preferred.
Skills & Other Requirements:
Strong verbal, written, and presentation skills; ability to interface with all levels of executive management.
Ability to communicate financial and legal information to technical volunteers.
Strong project management skills.
Experience working with industry outside of the US.
Relationship building and expressing information crisply, accurately and positively in all situations maintaining calm.
Complete knowledge of budgets, forecasts, etc.
Ability to multitask and adhere to deadlines.
Proficient with MS Office and other web-based tools; knowledge of Open Source tools a plus.
A valid passport for travel is required.
